Privacy Policy

We're pretty straightforward about how we handle your info. Here's the full story on what we collect and why.

Last updated: January 2024

Look, we get it - privacy policies can be a real snooze-fest. We've tried to keep this one readable and honest. If you've got questions about anything here, just give us a call at (604) 555-2847. We're happy to chat about it over coffee.

Who We Are

Eamberfall Quinthyros Architecture is a Vancouver-based design studio specializing in sustainable residential and commercial projects. We're located at 1425 West Georgia Street, Suite 800, Vancouver, BC V6G 3A9. When we talk about "we" or "us" in this policy, that's who we mean.

We take your privacy seriously because, well, we'd want the same respect if the tables were turned. It's really that simple.

What Information We Collect

Here's what we might gather when you reach out or work with us:

Contact Details

Name, email, phone number, mailing address - the usual stuff you'd share when starting a conversation about a project. We need this to actually, you know, get back to you and send project documents.

Project Information

Details about your property, design preferences, budget considerations, timeline expectations. Basically everything we need to understand what you're looking to build or renovate. Sometimes this includes site photos, property surveys, or existing floor plans you share with us.

Website Usage Data

Like most websites, we collect some technical info - your IP address, browser type, pages you visit, how long you stick around. Nothing creepy, just helps us understand how people use our site and where we can make improvements.

Communication Records

Emails, messages, phone call notes, meeting summaries. We keep records of our conversations so we don't lose track of important decisions or preferences you've shared. Trust me, your future self will thank us when we remember you don't like brass fixtures.

How We Use Your Information

We're not in the business of selling data or spamming people. Here's what we actually do with your info:

  • Provide our services: Design your space, coordinate with contractors, handle permits, communicate updates. The actual architecture work we're hired to do.
  • Respond to inquiries: Answer your questions, send proposals, schedule consultations. Pretty self-explanatory.
  • Improve our services: Figure out what's working and what isn't. Learn from past projects to do better next time.
  • Send relevant updates: Occasionally we'll share news about sustainable building practices, design trends, or our latest projects. You can opt out anytime - no hard feelings.
  • Legal compliance: Sometimes we're required to keep records for regulatory or insurance purposes. It's not exciting, but it's necessary.

Who We Share Information With

We don't go around broadcasting your personal details, but here's when we might need to share information:

Project Collaborators

Engineers, contractors, consultants, city planning offices - the folks who need to be in the loop to actually build your project. We only share what's relevant to their part of the work.

Service Providers

Our cloud storage provider, email service, project management software - the tools that help us run our business efficiently. These companies have their own privacy obligations and can't use your data for their own purposes.

Legal Requirements

If we're legally required to disclose information (court order, regulatory investigation, that sort of thing), we'll comply. But we'll let you know unless we're prohibited from doing so.

With Your Permission

Sometimes we'd love to feature a completed project in our portfolio or share it with the press. We'll always ask first and respect your decision either way. Some clients prefer to keep their homes private, and that's totally fine.

How We Protect Your Information

We take reasonable precautions to keep your data secure. Our digital files are encrypted, we use secure servers, and we limit access to personal information to only team members who need it for their work.

That said, no system is 100% bulletproof. We do our best, but we can't guarantee absolute security. If we ever experience a data breach that affects your information, we'll let you know promptly and explain what happened.

Physical documents are kept in locked cabinets in our office. We shred stuff when we're done with it. Old-school, but it works.

Cookies and Website Tracking

Our website uses cookies - those little data files that help websites remember you. Here's what we use 'em for:

  • Essential cookies that make the site actually function
  • Analytics to see which pages get visited and how people navigate around
  • Preferences so the site remembers your settings

You can disable cookies in your browser settings if you want, though some parts of the site might not work as smoothly. Most browsers let you block third-party cookies while keeping the essential ones.

Your Rights and Choices

Under Canadian privacy law (PIPEDA, if you're curious), you've got several rights regarding your personal information:

Access and Correction

You can ask to see what personal information we have about you, and request corrections if something's wrong or outdated. Just send us an email at info@eamberfallquinthyros.info.

Withdrawal of Consent

You can withdraw your consent for us to use your information at any time. Keep in mind, this might mean we can't continue providing services if we don't have the info we need to do the work.

Opt-Out of Marketing

Don't want our occasional newsletters or updates? No problem. There's an unsubscribe link in every email we send, or just let us know directly.

Data Deletion

After a project wraps up, we keep records for a certain period (usually 7 years) for legal and professional liability reasons. After that, we can delete your information upon request, unless there's a specific reason we need to retain it.

How Long We Keep Your Information

We're not pack rats, but we do need to keep certain records for specific periods:

  • Project files: 7 years after project completion (this is standard in the architecture industry for liability purposes)
  • Financial records: 7 years (tax requirements, you know the drill)
  • Correspondence: Duration of project plus 2 years
  • Marketing contacts: Until you ask us to remove you, or if you haven't engaged with us in 3 years

When we do delete information, we make sure it's actually gone - no keeping copies floating around unnecessarily.

Third-Party Links

Our website might link to other sites - manufacturer websites, industry resources, sustainability organizations, that kind of thing. We don't control those sites and aren't responsible for their privacy practices. When you click through to another site, you're subject to their policies, not ours.

It's always worth checking out the privacy policy of any site you're sharing information with. Not everyone's as transparent as they should be.

Children's Privacy

Our services aren't directed at anyone under 18. We don't knowingly collect information from kids. If you're a parent and think your child has somehow provided us with personal information, please let us know and we'll delete it promptly.

Changes to This Policy

We might update this privacy policy from time to time - usually when we adopt new practices or tools, or if laws change. When we make significant changes, we'll post a notice on our website and update the date at the top of this page.

If the changes are major and affect how we handle your existing information, we'll reach out directly to let you know.

Questions or Concerns?

If something in this policy isn't clear, or if you've got concerns about how we're handling your information, please get in touch. We're real people and we're happy to talk through any issues.
